Surrey Special Mtg 4/21/2021

Mayor: C Tollefson

Council Members: S Fennewald, T

Gantzer, J Johns, B Dickinson

City Attorney: Worthington &

Schultz PC-Andrew Schultz

Auditor/Scribe: Anita Trana

Public Works: John Doyle

Also Present: Ricky Alexander,

Sara & Meghan-Sound Accounting

Support

Mayor Tollefson called the meeting

to order at 6:00 p.m. with first topic

being the financial status of the City.

The auditor reported that the City fi-

nances are healthy and accounting

practices have been met to date,

however, disclosed that a discrepan-

cy exists between the bank accounts

and the fund accounting program.

Ms. Trana made point to an unex-

plainable adjustment required each

month to be able to produce finan-

cial reports and indicated that an au-

dit had not been conducted since

2018. With not having been in-

volved in providing these reports be-

fore for the City, Ms. Trana looked to

the members for direction suggest-

ing that an audit be completed for

the 2019/2020 books as soon as

possible to ensure that accurate

numbers can be provided going for-

ward. Further discussion ensued re-

garding timing, purpose, and due di-

ligence of having an audit with con-

firmation given that Rath & Meyer

had been contacted and the City is

waiting to fit into their schedule.

Mayor Tollefson proceeded and

called upon Sound CPA, a

third-party consulting firm, that

would be able to potentially provide

contracted accounting service for the

City. Mr. Fennewald moved to con-

tract services through Sound CPA

spending up to $3,000 to help recon-

cile the City books. Motion 2nd by

Mr. Dickinson. Roll Call Vote;

Fennewald-Aye, Dickinson-Aye,

Johns-Aye, Gantzer- Nay. Motion

carried. All members agreed that

the Certificate be redeemed at First

Western Bank & Trust and integrat-

ed into the accounts held at First

International Bank. Direction was

provided to assess the streets after

sweeping and get bids on either a

used motor or have contractor

quotes ready to complete a third of

the crack sealing for the next regular

meeting. Meeting adjourned 6:47

p.m.
